INFORMATION FOR CLUBS
The Leeds Gymfest 2020 sees a return to the popular First Direct Arena in Leeds, which provides fabulous performance and audience facilities. With the growth of the event we have been forced to reduce the numbers of routines and applications are on a first come – first served basis. On receipt of a completed entry form and payment we will email a confirmation that you are guaranteed a place and you are free to make your arrangements (please do not book anything until you receive this email). If all the 50 slots are filled your name will go on a waiting list and we will contact you if any additional slots become available.
Gymnasts and Coaches will sit in the dedicated gymnast seating, where they will be called through to holding rooms and then to warm up. After their performance they return to the holding rooms to collect all belongings and return to their dedicated seating. The coaches will be responsible for their gymnasts during the event. If they wish to sit with parents in the general auditorium, an additional ticket will need to be purchased from the arena.
For the safety of all participants and spectators public access it is strictly controlled. Gymnasts, coaches and spectators will be allowed entry from 10:00 onwards. Information will be sent out on what items can be brought into the arena nearer to the date.
The closing date for entries FOR CLUBS is 31st October 2019 and the completed entry form, full payment, team entries including BG number (or a copy of school insurance) must be completed by this date.

Information Sheet FOR CLUBS
Displays – should be a maximum of 3 minutes for small displays. Display with more than 20 gymnasts would be granted 6 minutes
Any form of gymnastics or display may perform.
3. Groups and mass displays are encouraged. The minimum number of gymnasts for a display is 10 (except Acro Partnerships or Elite performers).
The safety of the gymnast is of prime importance and the event organiser (with advice from the LGC Performance Director) reserves the right to stop any performance considered unsafe or to request moves are taken out of the routine. Please ensure the skill level in your performance equals your Supervisory Coach’s qualification.
For insurance purposes, all entrants must be current members of British Gymnastics or if a School, must have a letter showing that they have insurance to cover the display.
The use of costume or props is encouraged
Only one entry per club (excluding Leeds Gymnastics Club) will be allowed.
Music must be sent via email by MP3 format
Under the British Gymnastic licensing laws – Disney music, Andrew Lloyd Webber and Cirque de Soleil music
Always ensure that you have a spare copy of the music in MP3 format
To achieve the best effect in the performance arena, a good quality music file must be used.
All music must be submitted by Saturday 7 December 2019 via email on
Equipment will be available. We have crash mats, blocks and trampettes and you should only bring additional equipment if we will not have it available for you to use. Due to increased security procedures at the Arena if you wish to bring your own equipment then prior notification on the entry form is required. Please advise us if you have any additional equipment needs
The performance will take place on 12 x 12m “sprung floor”.
All gymnasts will receive a commemorative medal as they leave the stage
Trophies will be awarded for various categories including Rising Stars and Best Display.
All requests for medical assistance should be addressed to the control desk or volunteer who will contact the First Aid personnel.
Parking is available near the venue at Woodhouse Lane Car Park, Woodhouse Lane
The postcode for your sat nav is LS2 3AX. On event days it is currently £6 to park. Other car parks are available within a short walk. Coach parking is available Wade Lane for up to 12 coaches. Merchandise will be available on the day within the Leeds Arena. Items can be pre-ordered and full information and an order form will be sent out after the closing date. This will include our specially designed Leeds landscape tee-shirts and hoodies and other specially created merchandise.
Refreshments are available within the venue prior to and during the event. Gymnasts may bring a packed lunch with them but Gymfest will be a nut-free zone.
Professional photographers (DBS checked) will be taking photos during the event and these can be purchased from their stall. Please buy your prints as early as possible as they will stop printing once the last routine has finished. Please be aware this event is open to the general public
Meeting points for clubs
Once entries have been finalised each club will be given a meeting point, where they can arrange to meet their parents.
Welfare & Safeguarding
Any Safeguarding concerns for children should be referred to the Gymfest Welfare Team who are in attendance all day. They can be contacted through the control desk or volunteers, who will contact them to come and speak to you.

How to enter your child
If your child is in Pre-School
For our Pre-School children, the GymFest performance can be quite daunting and the Pre-School coaches will select a small number of gymnasts who they feel will be able to cope with the experience….
Individual children will be offered the chance to participate
Full details of the performance and the Festival as a whole will be communicated directly to parents in due course
If your child’s class is 1-hour long
All children in the one-hour General Gymnastics programme will be learn a Flash Mob dance during their classes in November, December and January. At GymFest, this routine will be performed once in the morning, and once in the afternoon by 2 separate groups of children.
If you want to enter:
You must phone or visit our office to book a place in either the AM or PM Flashmob
Bookings will cost £3 and include your official Flashmob T-shirt first come, first served
At the time of booking, you must pay the booking fee and select your Flashmob T-shirt size (bookings will not be confirmed without this)
Finally, book tickets for you and your child through the FD Arena and give us your seat numbers
Deadline for entry: Saturday 7th December at the latest
If your child’s class is 1.5-hours or more
Every group training 1.5-hours per week or more will learn and perform their own choreographed routine at GymFest; including music and costumes etc.
